Dropping off and collection

Collecting your child from Afterschool Club

Clubland is based in the Library/ICT suite. 

Please use the Junior entrance situated to the rear of the MUGA and alert the staff of your arrival by using the doorbell. A member of Clubland staff will collect you and bring you to the Library/ICT suite. They will sign your child out on our electronic register and hand them over to you.

If someone else is collecting your child

If someone else is collecting your child, please make sure they are registered as a collector on your magicbooking account and have your collection password. They will be required to enter this on the tablet in order for your child to be released to them. If they do not have the password, they will need to produce ID to identify themselves. If they are not named as a collector on your account, we will not release your child to them.

If you are late and collect your child after 18:00

We close at 18:00. If you arrive after this time, you will be charge a late fee. This will be added to your booking and payable through your magicbooking account.

Late fees are charged at:

  • £5 if you are between 1-5 minutes late
  • £10 if you are between 6-10 minutes late
  • £15 if you are between 11-15 minutes late
  • £30 if you are between 16-30 minutes late
  • £45 if you are more than 30 minutes late
If your child is attending a school afterschool club

If your child is attending a school afterschool club before coming to Clubland (such as football), please tell the team on site and also liaise with the staff running the afterschool club to ensure a safe handover of your child to Clubland.

Whilst at Clubland

Refreshments throughout the session

On arrival at Afterschool Club, your child will be offered a light snack. The children have a choice between a cold or hot snack which usually consists of either a sandwich, wrap, toast, pasta bake, Spaghetti on Toast sausage and such like. Around 17:00, your child will be offered a biscuit and a selection of fresh fruit.

Please be aware that this is only a snack and not a substitute for their dinner.

The children will be able to re-fill their water bottles with water throughout the session.

What your child should bring

Please limit your child's personal belongings to those specified by school.

They will need a hat and sun cream in hot weather, and jumpers and coats during the colder months.

Please ensure they have a named water bottle with them.

If your child has an accident or is involved in an incident

If your child has a minor accident and requires first aid treatment whilst in our care, we will complete an accident form which will be emailed to you. On the rare occasion that a more serious injury occurs, the Manager will call you with notification and immediately follow up with the accident form.

If your child has a toilet accident whilst in our care, or arrives to us having had a toilet accident that has not been dealt with, we will complete an incident form which will be emailed to you.

If your child is involved in  behavioural incident that requires an incident form to be completed, the Manager will call you with notification and immediately follow up with the incident form.

Managing your sessions

If your child is going to be absent

Please cancel their session online, in your magicbooking account. This ensures that the team on site will have access to the most up to date register, and they won't be looking for your child when they don't turn up!

Booking additional sessions

You can book ad hoc sessions and also increase your permanent sessions online, in your magicbooking account. These are subject to availability and ad hoc bookings are non-refundable or transferable. 

If you have an existing booking with a payment plan, you should add your additional sessions to this so that the cost is included within your plan.

The system will automatically recalculate your monthly payments and if you pay by card, you do not need to do anything further. 

However, if you pay via Childcare Vouchers, you will need to increase your payments via your voucher provider to reflect the new monthly amount.

If your child is coming for the first time

Settling in visit

If your child has not come to Clubland before, we suggest that you arrange for them to have a settling in visit prior to them starting with us. This will help them familiarize themselves with the setting and get to know the team on site.

Please contact the Manager, to organise this. If your child is starting reception in September, we would suggest organising the visit for just before the start school

Telling school that your child is coming to Clubland

You will need to follow schools procedure to inform the class teacher who is collecting your child at the end of the school day, even if they are just coming on an ad hoc basis.

Your child's keyworker

If your child is in reception, they will be allocated a keyworker. They will be responsible for helping your child settle in, liaising with yourselves and their teacher, identifying Early Years objectives and working with your child on their development.

Information about your child

Keeping your child's details up to date

It's really important that the information we hold about your child is accurate. This not only helps us support your child in the best way for them but also helps the day to day running of the club. Please make sure you update the following in your magicbooking account if and when it changes:

  • Your child's class (so we know where to pick them up from)
  • Any dietary needs, allergies or medical conditions
  • Any Special Education Needs and Disabilities (SEND)
  • Changes to Parental Responsibilities and/or the involvement of any external agencies in the care of your child

In the case of all of these, except your child's class, please also speak to Kim, the Manager on site so that she and the team can ensure they are meeting your child's needs.

If your child needs medication

Please make sure all the information about the medication is on your magicbooking account and you have completed a Medication form. The medication should be stored in a Tupperware container with the following on the front:

  • a picture of your child
  • your child's name
  • their date of birth
  • the medical condition
  • possible symptoms
  • the dosage and frequency of the medication
  • yours and other guardians names and telephone numbers

Please hand this box to the Manager on or before your child's first session.

Our team and how to contact us

The club is managed by Sally and supported by her team of Playworkers. They run the club between them and together, they are a highly experienced and skilled team, boasting extensive training including safeguarding, food hygiene and Paediatric First Aid. 

To reach the team, please call 07469 018773 during club operating hours.

In our Head Office, you'll find Karen and Emily, our Senior Management Team and Katrina who manages our bookings and customer care line.

If you need to speak to someone in Head Office, you can call 020 8979 3100 between 09:00-16:00 Monday to Thursday and 09:00- 13.00 on Friday during term time, or send us an email.

Days we are closed:

Clubland will be closed on any days the school is closed - such as bank holidays, inset days and emergency closures due to extreme weather conditions - and we do not run Afterschool Club on the last day of term (autumn, spring and summer) as school finishes early.

If you have a permanent booking, we do not charge for these closures and they have been taken into account in the bill for your booking.

COVID-19

From 1st April 2022, the Government removed all COVID-19 specific guidance. However, to reduce the risk of spreading the virus we will continue with the following safety measures:

  • If your child is unwell with a runny nose, sore throat, or slight cough and has a temperature, we ask that you do not send them to Clubland until they no longer have a temperature and feel well enough to attend.
  • If your child has a positive COVID-19 test result, we ask that you do not send them to Clubland for three days after the day they took the test. 
  • We recommend all staff and eligible children to take up the offer of a vaccine.
  • Our staff are advised not to come to work if they have symptoms of a respiratory illness and a temperature until they feel well enough to return and they no longer have a temperature. They are also advised not to come to work if they have a positive COVID-19 test, for five days after the day they took the test.
  • We continue to champion good hygiene for everyone, including frequent and thorough handwashing and implementing the 'catch it, bin it, kill it' rule.
  • We continue to maintain thorough cleaning regimes, including regular cleaning of areas and equipment, with particular focus on frequently touched surfaces, as well as weekly deep cleans to sanitise regularly used toys such as Lego, Stickle Bricks and K'NEX etc.

The team on site are working with the children directly and will be able to quickly help you.
