HR Administrator Job Description

Main Purpose of the Job 

In line with Clubland Playscheme’s mission, the purpose of this role is to contribute to the development of and implementation of an effective recruitment and retention strategy for childcare positions within the organisation. You will work alongside another HR Administrator to review and evolve areas such as recruitment, onboarding, training and reward and recognition packages. In addition, you will be required to collaborate with a number of colleagues in order to produce and manage the monthly staff rota.   

You will have: 

  • Experience of working in an administrative role. 
  • Some experience of HR functions within a business, from recruitment through to retention. 
  • Proven skills in planning, organisation and communication, as well as the ability to be creative, imaginative and inventive. 
  • A strong work ethic and capability to work as part of a team, self-motivate and be flexible. 

Specific responsibilities 

Administration 

  • Act as the first point of contact for queries from prospective candidates looking to work at Clubland Playscheme. 
  • Support candidates through the recruitment process and manage the onboarding, induction and probation process for successful candidates. 
  • Process any resignations, including but not limited to; acceptance of resignations, delivery of exit interviews, removal employee access to Clubland Playscheme systems and the filing of records. 
  • Process employee timesheets and update the payroll system. 
  • Respond to and resolve any queries and/or issues from staff members in relation to pay, working patterns, training and other areas. 
  • Allocate and book training courses for all staff members. 
  • Organise the social calendar; booking and arranging social events for Clubland Playscheme employees. 
  • Contribute to the development and management of the staff rota, including arranging late cover requests. 
  • Attend and input into planning and training sessions as appropriate, ensuring that relevant qualifications required for the post and staff are maintained. 
  • Develop and implement new administrative systems in order to create efficiencies in the running of our HR functions. 
  • Manage and maintain online and offline human resources filing systems. 
  • Effectively manage associated budgets and report on expenditure. 

Analysis and evaluation 

  • Continuously review and develop the recruitment process, from marketing our roles, supporting candidates and the application process itself. 
  • Develop and monitor an onboarding process for successful candidates, including but not limited to; issuing contracts, adding candidates to the HR database, issuing uniform, and developing and sharing a staff handbook. 
  • Work with the onsite management team to develop and implement a comprehensive induction process, enabling new staff to learn and understand their role and responsibilities as well as complete any required training. 
  • Produce an effective probation scheme and work collaboratively with the onsite management team to ensure all new starters are being supported within their role and achieving their probation targets. 
  • Support the development and roll out of a high performing recruitment and retention strategy, focusing on our communication channels, messaging and offering.  
  • Deliver an efficient exit strategy for employee’s resigning from the organisation, ensuring that all employees continue to feel valued, that all relevant information is collected, that any Clubland Playcheme property is returned, that any access to Clubland Playscheme systems is removed and that all records are filed appropriately.  
  • Working with the Regional Manager, develop and roll out a comprehensive training package to ensure that all staff stay up to date with their required training and continuously develop and improve their knowledge and skills. 
  • Refine and enhance our existing benefits package, inclusive of our reward and recognition policy and delivering a social calendar, with a view to increase staff morale, retention and develop strong working relationships. 

Legal, risk and safeguarding 

  • Ensure all disciplinary action is carried out with support and guidance from our outsourced Employment Law Team. 
  • Ensure all human resources policies and procedures are in accordance with current legislation, safeguarding and Ofsted requirements. 
  • Act in accordance with current legislation, policy and procedure in relation to the delivery of the business needs. 

Relationships 

  • Work collaboratively with the HR Administrator, Regional Manager and onsite management teams in order to support all Clubland Playscheme employees within their roles. 
  • Seek advice and support where necessary from our outsourced Employment Law Team. 
  • Manage relationships with key stakeholders including but not limited to; staff, parents/carers and our partner schools. 

Other duties 

  • Support on the delivery of Holiday Club by completing a range of tasks including but not limited to; planning activities, marketing, set up/clear down, on site management and evaluation. 
  • Undertake any other duties that are commensurate with the post as requested by your manager. 
  • Carry out the duties of the post in accordance with Clubland Playscheme policies and procedures. 
  • Work autonomously, prioritizing and managing resources as required.
